Covered for Dogs is operated by MindLikeASieve, a trading name of Silver Forest Limited ("we", "us", "our"). We take your privacy seriously. This policy explains what data we collect, why we collect it, who we share it with, and how we protect it.
Data controller
Silver Forest Limited is the data controller for the purposes of UK GDPR. If you have questions about how we handle your data, contact us at hello@mindlikeasieve.co.uk.
What we collect
When you use Covered, we collect:
- Your name and WhatsApp phone number
- Your dog's name, breed, date of birth, weight, and health conditions
- Your vet and groomer details (names and contact numbers you provide)
- Pet insurance provider and renewal dates
- Care schedule information (treatment types, product names, dates, frequencies)
- Your responses to our WhatsApp check-ins and follow-ups
- Subscription and payment information (processed by Stripe. We never see or store your full card details)
- How you found us (referral source)
Lawful basis for processing
We process your personal data on the following bases under UK GDPR:
- Contract: We need your data to provide the Covered service you have subscribed to (Article 6(1)(b))
- Legitimate interest: We use basic analytics to understand how our website is used and improve the service (Article 6(1)(f))
- Consent: Where we send you marketing or promotional messages beyond service communications, we will ask for your consent first (Article 6(1)(a))
Why we collect it
We use your information to:
- Build and maintain your dog's care timeline
- Send check-ins, follow-ups, and nudges via WhatsApp
- Generate monthly status reports
- Send seasonal health alerts relevant to your dog
- Process your subscription payments
- Respond to your questions and requests
- Improve the service based on how it is used
What we don't do
- We don't sell your data to anyone
- We don't use your data for advertising or ad targeting
- We don't share your data with third parties for their marketing purposes
- We don't use your data to train AI models
- We don't make automated decisions about you that have legal or significant effects
Third-party processors
To provide the Covered service, we share your data with the following third-party processors. Each acts under our instructions and is bound by data processing agreements:

Where data is transferred outside the UK, we ensure appropriate safeguards are in place through Standard Contractual Clauses, adequacy decisions, or equivalent mechanisms as required by UK GDPR.
How we store and protect your data
- Customer data is stored in Airtable with access restricted to authorised team members only
- WhatsApp conversations are end-to-end encrypted by default
- Payment data is handled entirely by Stripe and is PCI DSS compliant. We never see your full card number
- Access to all systems is protected by strong passwords and two-factor authentication where available
- We regularly review who has access to your data and remove access when it is no longer needed
Your rights under UK GDPR
You have the right to:
- Access: Request a copy of all personal data we hold about you
- Rectification: Ask us to correct inaccurate or incomplete data
- Erasure: Request deletion of your data ("right to be forgotten")
- Restriction: Ask us to limit how we use your data in certain circumstances
- Portability: Request your data in a structured, machine-readable format
- Object: Object to processing based on legitimate interest
- Withdraw consent: Where we process based on consent, you can withdraw it at any time
To exercise any of these rights, message us on WhatsApp. We will respond within 30 days.
If you are not satisfied with how we handle your data, you have the right to lodge a complaint with the Information Commissioner's Office (ICO) at ico.org.uk.
Data retention
- Active subscribers: We retain your data for as long as your subscription is active
- After cancellation: We keep your data for 90 days in case you wish to resubscribe. Before deletion, we will send you your dog's complete care history so you don't lose it
- After deletion: All personal data is permanently removed from our systems. Anonymised, aggregated data (e.g. average treatment frequencies) may be retained for service improvement
- Payment records: Transaction records are retained for 7 years as required by UK tax law (HMRC)
Cookies and analytics
This website uses Google Analytics (via Google Tag Manager) to understand how visitors use the site. Google Analytics collects anonymised data including pages visited, time on site, and referral source. It does not identify you personally.
We use the following cookies:
- _ga, _ga_*: Google Analytics cookies used to distinguish users and sessions. These expire after 2 years and 24 hours respectively
You can opt out of Google Analytics by installing the Google Analytics Opt-out Browser Add-on.
Children
Covered is not intended for use by anyone under 18. We do not knowingly collect data from minors. If you believe we have collected data from someone under 18, please contact us and we will delete it.
Changes to this policy
If we make material changes to this policy, we will notify you via WhatsApp at least 14 days before the changes take effect. The "last updated" date at the top of this page will always reflect the most recent version.
